PRIVACY POLICY
I. General provisions
The controller of personal data is companies of the Vox Capital Group, i.e. Meble VoX, Składy Vox, Profile Vox (hereinafter referred to as VOX) with its registered office in Czerwonak (62-004), at ul. Gdyńska 143.
(2) The Administrator has appointed a Data Protection Officer, who can be contacted in all matters relating to data protection by sending a message to iod@vox.pl or in writing to the postal address of the Administrator indicated in the paragraph above.
(3) Personal data shall be processed in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (General Data Protection Regulation).
4 The data collected by VOX shall be:
- processed lawfully,
- collected for specified, legitimate purposes and not subjected to further processing incompatible with those purposes,
- substantively correct and adequate in relation to the purposes for which they are processed,
- kept for no longer than is necessary to achieve the purpose of the processing.
II. Scope of data collection
Personal data is necessary for the provision of top-quality services and their development, which is why VOX makes every effort to secure it appropriately, including processing it only on the appropriate legal basis. The scope of the data collected is strictly dependent on the type of service provided, i.e:

In addition, in order to adapt and develop the website's functionality, including its structure and content, to the individual needs of Users and to maintain the safety and quality of services provided by the website, technology is used which collects and processes data stored in cookies, including the IP address (details described in the Cookie Policy).
III. Purposes and legal basis of data processing
Personal data is processed for the following purposes:
1. registering an account on the vox.pl website and verifying the User's identity related to secure login - on the basis of the User's acceptance of the terms and conditions of the Terms of Service (Article 6(1)(b) RODO),
2. taking steps at the User's request prior to concluding an agreement and performing the concludedpurchase-sale agreement, including for handling payments, delivery and information on the status of an order (in the form of an SMS and/or e-mail), and handling the complaint process - on the basis of acceptance of the vox.pl website Terms and Conditions (Article 6(1)(b) RODO),
3. making online purchases without registering a User account, including the execution of online payment, sending information about the status of the order (in the form of SMS messages and/or e-mails) its delivery and handling the complaint process - on the basis of acceptance of the vox.pl website rules (Article 6(1)(b) RODO);
4. fulfilment of VOX's legal obligations relating to accounting and taxation and for archiving purposes (Art. 6(1)(c) RODO);
5. sending marketing content via the communication channel to which the User has voluntarily consented, i.e. via electronic message to the e-mail address indicated and/or telephone notifications (SMS/MMS), for the purpose of presenting commercial offers and sending personalised information about the VOX Capital Group's products and services - on the basis of the administrator's legally justified interest (Article 6(1)(f) RODO); 6;
6. communication with the User and responding to messages sent via the contact form available on the vox.pl website - based on the administrator's legally justified interest consisting in building and developing relations with customers (Article 6(1)(f) RODO);
7. communicating with the User via the Chat on-line application available on the vox.pl website and other communicators, including via social media - based on the legally justified interest of the administrator consisting in building and developing relations with customers (Article 6(1)(f) RODO);
8. arranging an appointment with an advisor in the salon selected by the User - on the basis of acceptance of the Rules and Regulations of the vox.pl website (Article 6(1)(b) RODO);
9. offering additional functionalities of the website, including the possibility of creating designs and visualisations of interiors by means of the VOX BOX tool - on the basis of acceptance of the Rules of the vox.pl website (Article 6(1)(b) RODO);
10. provide the Architekt VOX programme with the functionality of downloading 3D solids.
11. provide information about the location of VOX Capital Group furniture stores in the User's immediate vicinity - on the basis of the administrator's legally justified interest (Article 6(1)(f) RODO) and voluntary consent (Article 6(1)(a) RODO);
12. to strengthen the relationship with the User by publishing photos of the Users' interiors on the vox.co.uk website and in social media - on the basis of the consent given for the publication of photos (Art. 6. par. 1 lit. a RODO);
13. asserting or securing claims, which is a legitimate interest of the administrator (Article 6(1)(f) RODO).
IV. Period of processing of personal data
(1) Personal data shall be processed for the period during which the person remains a registered User of the vox.pl website, and thereafter for the time necessary to comply with the law or to assert or defend against possible claims.
(2) Personal data collected for the purpose of executing a purchase agreement will be processed for 5 years calculated from the end of the calendar year in which the purchase was made.
(3) Personal data of persons who have made online purchases without registering an account but have not confirmed the order will be deleted 72 hours after completing the purchase form on the website vox.pl.
4th Personal data of persons who contacted us via the contact form available on the website vox.pl will be processed for a period of 1 year counting from the end of the calendar year in which the contact was made.
(5) Data obtained during communication with the User through the on-line Chat application and other tools will be processed until you object to the processing.
(6) Data collected for the purpose of sending marketing content will be processed until you object to the processing or until you withdraw your consent to the chosen communication channel for which such consent was given.
(7) Data collected for the purposes of adapting and developing the functionality of the vox.co.uk website and relating to geolocation will be processed until the User raises an objection to the processing or until it becomes obsolete.
(8) Where processing is carried out on the basis of consent given by the User, data will be processed until the purpose for which it was collected is fulfilled or until the consent is revoked, depending on which event occurs first.
V. Information on processing
(1) Personal data, depending on the purpose of the processing, may be disclosed to:
- to trusted entities belonging to VOX,
- representatives of furniture stores cooperating with VOX and operating under this brand,
- subcontractors, in particular to entities providing and operating selected IT systems and solutions (including hosting, development and maintenance of IT systems and websites) and assisting in the execution of warranties, complaints and product repairs,
- financial institutions, including in particular banks, national payment institutions and small payment institutions, with regard to the services offered by these entities, including payment services (e.g. payment methods) and consumer credits
- providers of accounting and tax services,
- providers of courier and postal services,
- entities providing debt collection and law firms.
(2) Personal data processed by VOX may be transferred outside the European Economic Area (EEA), i.e.
- to the USA to the extent of data published in social media, collected for the purpose of geolocalisation and the adjustment and development of the vox.pl website functionality - personal data will be transferred only to entities which comply with the principles set out by the U.S. Department of Commerce as part of the EU-U.S. Privacy Shield Framework programmes ensuring a level of personal data protection analogous to the regulations in force in the European Union,
- to India in support of the SAP enterprise resource planning system for sales data - on the basis of standard data protection clauses adopted by the European Commission in accordance with the examination procedure.
(3) Regardless of the purpose of the processing, the provision of data is voluntary, however, failure to provide such data may prevent, depending on the specific case, the conclusion of the contract, the use of selected services within the service and its functionalities or the receipt of marketing content.
(4) There is no automated decision-making, including profiling, in the processing of personal data.
VI. Rights of data subjects
(1) Any User whose personal data is processed by VOX has the right to:
- access to the content of his/her personal data,
- rectification of the data,
- erasure of the data,
- restriction of data processing,
- to data portability,
- to object to processing carried out on the basis of the legitimate interest of the controller,
- the right to withdraw consent at any time without affecting the lawfulness of processing carried out on the basis of that consent before its withdrawal.
(2) The user of the vox.pl website also has the right to lodge a complaint with the President of the Office for Personal Data Protection if they consider that the processing violates the provisions of the General Data Protection Regulation.
VII. Newsletter
(1) These rules apply to sending Newsletter i.e. sending by VOX to the electronic mail address (e-mail) and/or telephone number provided by the User messages containing information about the offer (including promotions) of the online shop available under the domain vox.pl or showrooms operated by VOX companies or entities associated with it (hereinafter: "Newsletter").
(2) In order to receive the Newsletter it is necessary to have access to the Internet and possess an electronic mail address (e-mail), mobile phone or other device, while it is not necessary to meet any specific technical requirements other than having a commonly used operating system and web browser.
(3) The user can agree to receive the Newsletter by:
- making their electronic mail address (e-mail) available directly on the vox.pl homepage,
- marking an appropriate declaration of consent during registration of the User's account at vox.pl, filling in the form in bookmarks For Architects and Make an Agreement with an Advisor or during on-line shopping without registering a User account.
(4) The User is obliged to refrain from providing unlawful content, in particular as regards providing third party data without the consent of the authorised persons.
(5) Individual messages sent as part of the Newsletter dispatch constitute works as defined by copyright law and are subject to protection as defined by law. Any copying, modification or use contrary to the purpose or without the consent of VOX may constitute a violation of the law.
(6) The User may, at any time, unsubscribe from the Newsletter by: using the functionality in the User's profile (unchecking the box concerning the declaration of consent to sending content of a marketing nature),
- Activate the unsubscribe link included in each of the marketing messages sent.
(7) VOX may suspend or terminate the sending of the Newsletter after prior notification to the Users at the e-mail addresses provided by them.
8 VOX has the right to delete an incorrect or non-existent e-mail address provided by the User.
VIII. Final provisions
(1) All matters related to the protection of personal data may be consulted by the User with the Data Protection Officer - contact at the following e-mail address: iod@vox.pl.
2 The privacy policy may be subject to change due to:
- obligation to make changes,
- change of legal regulations,
- changes in the functionality of the service, scope of collected data, purpose or changes of other factors which will affect the processing of the User's personal data.
